When to use BPM or Case Management?
Case Management is getting a lot more attention these days, and for good reason, but many organizations don’t really understand the difference between Case Management and BPM.
The biggest single difference between BPM and Case Management is the predictability in which work happens.
The best way to think about this is to think of Case Management as a collection (or case – hence the term) of different processes required to complete a task.
Case Management focuses on the knowledge worker and includes non-routine, ad-hoc processes that usually involve team collaboration and individual judgment. Therefore, there is very little predictability or repeatability in how work gets completed.
Whereas traditional BPM focuses on automating specific processes that follow very routine and predictable patterns.
Traditional BPM is great at solving static and routine business processes but many organizations are finding that this is no longer enough. Really if you think about it, the truly competitive business processes within an organization have nothing “routine” about them!
If you are like many companies we encounter and are trying to figure out which approach is right for you, start by examining the predictability or unpredictability of the process as a key indicator of whether the work should be handle via a case management approach, or via business process management approach.
We could spend hours and pages talking about the benefits of each approach and when one approach should be considered over the other. As you can see the approaches are very different and reflect very different patterns of work.
I ran across a blog about this and I thought Jacob Ukelson, CTO at ActionBase said it best. “…Each works better for a specific type of work. Yes, you can do case like things with BPM, or process like things with a case management system - but that is like saying screws and screwdrivers aren't important - since we can just use a hammer and nails for everything.”
